What to Say to a 1-Star Google Review (Templates That Work)
A single 1-star review can feel like a punch to the gut — and the worst thing you can do is fire back while you're still upset. Future customers judge you far more by how you respond than by the rating itself. A composed, human reply often wins back the reviewer and impresses everyone else reading.
First, wait an hour before you reply
Draft your response, then step away and reread it once you've cooled down. If it sounds defensive or sarcastic, soften it. The goal is to look like the calmest, most reasonable person in the conversation — because that's who earns trust.
A template you can adapt to almost any 1-star review
"Hi [name], thank you for taking the time to share this, and I'm sorry your experience didn't meet expectations. That's not what we want for any customer. I'd genuinely like to understand what went wrong and make it right — please reach out to me at [email/phone]. — [Your name], [Business]"
Situation-specific examples
“1 star.”
Thank you for the rating. I'm sorry something fell short — we'd really like to understand what happened so we can improve. If you have a moment, please email us at hello@example.com. We take every piece of feedback seriously.
“Overpriced and slow. Total waste of money.”
I appreciate the honest feedback and I'm sorry you felt the value and speed weren't there. Both matter to us, and I'd like to learn more about your visit so we can do better. Could you email me at owner@example.com? I'd welcome the chance to make it right.
“I've never even been to this place. Wrong business.”
Thank you for flagging this — we don't have any record of a visit, so it's possible this review was posted for the wrong business. We'd appreciate it if you could update or remove it. If we can help with anything, we're happy to.
After you reply
- If it's a policy violation (spam, competitor, never a customer), report it in Google Business Profile — but don't count on quick removal.
- Earn more positive reviews to push the 1-star down. A steady flow of recent 5-star reviews matters more than any single bad one.
- Don't obsess over one review — patterns matter, single data points don't.
